We have added a new column on the table below called “Action Required” this shows several new status labels:

SETUP_REQUIRED - some setup will be required to use this element

NEW_PERMISSIONS - new permissions have been added

screen_changes - changes have been made to existing screens

This is to help highlight to you anything you need to ensure is set up for the day of release or in advance of this. We do still recommend that all of the release notes are read.

Billing - Addition of SMS Billing

Overview

We have extended our Billing dashboard for Enterprise customers to include a new SMS Billing tab. For EPAOs that have SMS enabled in their environment, this will show an annual usage breakdown. Allowing you to get an idea of quarterly or monthly usage and filtering by the communication type. The estimated costings will also be shown.

EPAOs that do not have SMS enabled will still see this tab but will have an information box shown instead. If you would like to discuss enabling SMS messaging on your environment please open a ticket on our Support Desk.

Reporting - Rename EQAO report to Ofqual report

Overview

The EQAO report within the Certification category has been renamed to be the Ofqual report. This has been done to better reflect its purpose as this report has been created against the Ofqual specification and to help reduce any confusion over the purpose of the report. The associated permission has also been renamed.

Reporting - Add MFA status to user details

Overview

The User Details report has been extended to include MFA information for each user. A new column detailing if MFA has been enabled for that user and a column showing which method(s) the user has set up for MFA. Each new column has an associated filter.

Manage Element Drawer - Add external assessment, meeting, and proctoring details

Overview

We have added a new “External Details” section to the Booking Details widget when using the Manage Element Side Drawer. This new section will contain key details about external services tied to the element. For example:

  • Surpass Keycode

  • External Assessment Other Provider and Reference

  • ProctorU Reference

  • Proctoring Other Name and Reference

  • External Meeting Provider

This section is only shown to internal users; Awarding Organisation, EPA, EPAM, and QA.

As part of this, we moved the ProctorU reference into this section, previously it was just a field under booking details and was visible to all users.

Change Log - Roll out the entity view to other screens

Overview

We have rolled out the entity-based change log to additional screens to provide more visibility of changes without having to search through the full change log.

Changes to Functionality

This functionality has been rolled out to the screens listed within the impacted areas below.

This change also introduces a couple of tweaks to how change log entries are categorised/tied to a parent entity - this will apply to changes moving forward and so some historic changes will not show on the entity-specific view but will still be available on the full changelog screen as they are currently.

  • Assessment Plan Element Attendees - This entry will now be linked to the Assessment Plan Element it belongs to rather than the Assessment Plan

  • Assessment Result Answer - This entry will now be linked to the Assessment Result it belongs to rather than the Assessment Plan

  • Notification Rule - This entry will now be linked to the Notification Type it belongs to, previously it was not linked to anything

NEW_PERMISSIONS

Change Log - Add new permission for entity based changelog

Overview

We have introduced a new permission “View Entity Changelog” available under the “Miscellaneous” section. This has been given to any user or role that has the current Change Log permission. This new permission grants the user access to the entity-based change log (the history button on some screens) but not the full change log. This is to allow users to see the history of changes on entities they’re allowed to access without exposing the full system changelog.

Overview

The assessment schema screen has been updated to no longer require the assessment plan version, making this now an optional field.

The validation has also been updated to allow a decimal number to be input into this field (i.e. “AP1.1”).

Summary drawer - user links across epaPRO

Overview

We have added the summary drawer link for user details across the epaPRO app.

  • Appeals screen: Apprentice name, EPA name and component EPA name

  • Appeals listing screen: Apprentice name

  • Planning meetings listing screen: Apprentice name and EPA name (where the EPA has been confirmed)

  • Assessment profile: Apprentice name, EPA name, primary EPA manager name, and component EPA name

  • Result: Apprentice name

    • Additionally, we have moved the Apprentice name and Component name to the screen heading to keep this in-line with other screens

  • Planning meeting booking screen: Apprentice name

  • Planning meeting booking listing screen: Apprentice name and EPA name

  • Record of achievement: Apprentice name

NEW_PERMISSIONS

Reporting - Billing forecasting report

Overview

A new report has been added to the Forecasting category within the reports section named “Apprentice Billing”.

This report shows one row per current apprentice programme and has columns detailing 3 main charging points: Registration, Gateway, and Custom. The report will pull an associated contract for each of these charging points:

  • Registration - This will match the registration billing report and uses the apprentice’s start_date on the system to find a contract.

  • Gateway - This will use the most accurate date available for gateway. This may change as the forecast report is ran over time so please be aware of this. The order of dates used is audit_submitted_date, first gateway submission date, and epa_date. This date will then be used to find a contract.

  • Custom - This will match the custom charge report and uses the apprentice’s start_date on the system to find a contract.

All the above means that the system could use 3 different contracts for the 3 prices; all contract names are available in the report for comparison and checking.

Although all current programmes are included within this report it is noteworthy that this will include certified apprentices until they start a new programme. Therefore users may wish to exclude certain apprentice status' using the reporting filters to ensure that forecasts are calculated using appropriate data.

Finally a date calculated date has been added to this report named year_before_gateway_date. This date is calculated using either the first gateway submission (if available) or the estimated gateway date (epa_date) and subtracting 1 year.

Reporting - Fixed Date Comparison Filters

Overview

Fixed a bug that prevented date comparison filters from working in the reporting screen.

Changes to Functionality

A bug has been fixed that prevented the date comparison filters within the reporting screen from functioning correctly. Attempting to use the filters previously showed an error message “Invalid date comparison values have been provided.” - this should no longer be the case.

Assessment Plan - Assessment Centre capacity check not properly accounting for the component

We have fixed a bug with the assessment centre capacity check on the assessment plan screen to properly take into account the component being booked. This means the capacity block should now properly display as no capacity if the slot has availability but not the component trying to be booked.

QA Question Template - editing to add a new question no longer causes an ordering issue

Overview

The QA Question Template entity screen has been updated to honour the question order.

Changes to Functionality

The QA Question Template entity screen will now show the configured questions within the “Questions” tab based on the order column. When these questions are assigned to a QA record, these too will appear in the order specified against the questions.

Note that the order is considered a substantial change, meaning that changing the order against a question will not affect questions already assigned to existing QA records that implement the question template.

Assessment Plan - 90 day warning

We have fixed a bug where the 90 day warning for assessment plan bookings (where dates that were more than 90 days in the past or in the future from the present date were selected) was being triggered twice.
