EP-2099 | Assessment Booking - Bulk assign EPA to Elements | A new 'Assign EPA to Elements' screen has been added to the assessment menu. This new screen will allow for an EPA to quickly be assigned to booked elements that do not already have an EPA assigned. In order for the EPAs to show in the bulk popup, they must be able to assess all of the standards/specialisms required. The new screen works similarly to the assign apprentice screen, so the bulk popup will process any of the elements currently visible. Allowing the screen to be filtered down as requested before processing the elements. | |
EP-2053 | Extension to assessment result attachments and certification uploads to allow internally vs externally visible files | We have extended the assessment result and certification file uploads to allow them to be specified as internal only visibility. The default is set to external viewing for these files. | |
EP-2032 | QA user standard specialism settings | We have added the facility for QA users to be associated to specific standards and specialisms. By default, the system assumes that all QA users are associated with all standards and specialisms, until these settings are changed. This will also restrict the items awaiting QA that the user can see to just those items that match the standards and specialisms that the user is associated with. Other places that these restrictions are in place include: the apprentice list, support materials, planning meeting and the following reports: apprentice details, assessment elements, past programmes, planning meeting details, certification overview, result tracking, completed QA, certification pending QA, ready for certification and result pending QA. | |
EP-2026 | New screen for bulk assessment booking | Description: A new screen has been added to the Assessment menu (Cohort booking), allowing for assessment components to be booked for a group of apprentices at once. Process: - Select the apprentices that need to be processed - note that all selected apprentices require the same schema in order to be processed. Apprentices that have gone through gateway, have an EPA assigned, but do not have an existing assessment plan appear in the list. - Once selected, the "Bulk book apprentices" can be clicked, opening a new modal. The modal processes apprentices in four main stages: - Components: The components against the schema are offered for selection. Note that any components requiring third party assessment (such as Surpass) cannot be processed at this time. - Schedule: Each selected component is then offered for scheduling. This is achieved by selecting a component on the right hand side, then clicking on the calendar where the component should be scheduled. A context menu will appear, allowing the selection of an assessment centre, or an option of "none" if one is not required. The menu also shows the capacity against each assessment centre in brackets, depending on the time and day being scheduled. Once scheduled, re-clicking on the event will offer the ability to change the assessment centre or delete the event from the calendar. An assessment centre filter is provided at the top of the screen that can be used to populate the calendar with additional information, such as the general capacity per day and the opening hours. - Component Info: The information for each component can be entered here, including attachments, location type, location and invigilator details (when applicable). - Confirmation: The list of apprentices picked on the main page are shown. Apprentices can be selected & deselected for processing. Any messages returned are shown against each apprentice row. Note when processing that the system will automatically use a pre-existing planning meeting (if a current one is found), otherwise a new one will be created. - Once the components have been booked in, EPA assignment/plan sign off can then be completed within the new "Assign EPAs to Components" screen. | |
EP-2011 | API - Add what fields have changed to relevant entries via the /queue endpoint | We've updated the /queue endpoint via the API to include extra granularity on what fields have changed, this only applies where the event's name doesn't describe this enough. For example, the update_apprentice event will contain a list of changed fields. Whereas the cancel_plan event does not as the event name is explicit enough to know the plan has been canceled. | |
EP-1964 | Forecasting - Extend the provider screen to allow the capturing of forecasting data | We've added a new tab to the provider screen that will provide a way for forecasting figures to be entered. These are by standard and can be entered annually and/or monthly. The forecasting tab requires contracts to be set up for the provider, as this data is going to be used in future functionality. At the moment the forecasts are capturing data only but will be expanded to include calculations and reports. The forecasts tab will always be up to date with the standards checked within the 'Standards' tab, and doesn't need standards being manually added. The tab also includes a 'Year' dropdown which will allow you to enter forecasts for any year covered by a contract associated with the provider. | |
EP-1946 | Bulk Upload - Bulk creating employers sometimes wrongly caused a validation error with the standard | We've fixed a bug that sometimes caused the bulk create employer to fail due to a validation error with the provided standards, this was most common if the standard had specialisms. This should now no longer happen. | |
EP-1465 | Assessment Progress - Result Adjustment | We've added a new result adjustment feature to EPAPro. This will allow a component's result to be adjusted, even post QA, by an AO user (with permission). The adjustment will be logged for audit purposes and can be viewed by a user with the relevant permission. A result can be adjusted at any point of the Apprentice's EPA journey, except when the result has been submitted to the ESFA via our ESFA integration. This feature adds two new permissions that a user can be given: -- Create Result Adjustment - this will provide the user with the ability to see the 'Result Adjustment' button on the assessment progress screen and carry out an adjustment. -- Read Result Adjustment - this will provide the user with the ability to see the 'View Adjustments' button which will show any past adjustments made. These two permissions have only been given to the Awarding Organisation Owner role, if you have one setup then they can apply the permissions to other users as needed, if you do not yet have an Owner user then please open a support ticket and we can set one up for you. The result adjustment will keep a history of the following fields: -- Outcome -- Outcome additional info -- Next action -- Reason - this is a new field that's shown when performing an adjustment -- Reason additional info - this is also a new field that's shown when performing an adjustment A new report has also been added that will output all of the adjustments made, as mentioned above, this can be viewed per component via the 'View Adjustments' button instead. |
